Best Practices

These are some suggested "best practices" for space coordinators:

  • If possible, start early, prior to Fall quarter. You are free to input information on known room changes for your department throughout the year and use fall quarter to review
  • Room Occupancy - Update rooms regularly (see Occupants section on the Room page). Some departments do this as part of the "on-boarding" process for new employees. 
    • If it is a student group that changes often, describe that in the Room Name but you do not need to add the students as occupants. 
  • Room Names - Entering something makes it easier to identify rooms in the room reports. It is also easier to see what needs to be updated when you do your space inventory.
    • If activities take place in Circulation spaces, describe them in the Room Name (e.g., Study tables in lobby).
    • Update the Room Name to describe how 335-Office Service rooms are being used (e.g., break room, copy room, mail room).
  • Room Use - Divide rooms (X/Y) if there are two distinct frequent room use types (especially any instruction/classroom use) and assign the percent of time split between them (e.g., 340-Conference Room 60% and 130-Seminar Room 40%).
  • Renovations - Inform Space Management and Project Development about them early, especially if they will result in room number changes or square footage adjustments. Room number changes need to be approved by Space Management.
  • Room Use Codes 110-Classroom, 130-Seminar Room, 260-Class Lab or 261-Special Class Lab have a campus-wide impact. Please contact Capital and Space Planning before using.
