Campus space is one of UC Davis' most valuable shared resources. The Space Management & Project Development (SMPD) team partners with schools, colleges and administrative units to ensure space is assigned, managed and used effectively in support of the university's teaching, research, public service missions.
 
Our services include FacilitiesLink administration, space data management, space utilization planning, the Space Release Program and guidance on campus space policies and assignments.

Space Release Program

Departments can now permanently release assignable space for budget credits. If your department has space in mind but you’re unsure if this program is the right fit, send us an email at [email protected]. We’ll find a solution that works for you. Learn more about the Space Release Program.

  • How it works
  • - Identify a minimum of 2,500 SF that you can permanently release.

    - Make sure you don't need the space for at least five years.

    - Earn an incentive of $10 per SF for up to three years.

    - Gain free access to SMASH the Stash ​​​​​

  • Qualifications
  • - Be located on the Davis campus or in the city of Davis

    - Be centrally funded (department-funded space is not eligible)

    - Offer space in a contiguous block, with a minimum of 2,500 assignable square feet

    - Space includes its own entrance

    - Space is in usable condition or requires minimal repair

  • Additional details
  • The incentive amounts to a minimum budget credit of $25,000 each year for three years and can be used at the discretion of a dean or vice chancellor. Up to 60% of standard per-person moving costs would also be covered centrally. Units who make a request for comparable space within five years will be expected to pay back any funds received.

FacilitiesLink and Space Data

SMPD administers FacilitiesLink — the university’s campus space database. FacilitiesLink is used to manage and document information about the assignment, use, function and occupancy of rooms in buildings on and off campus. This data is used for daily operations and for planning, analysis and reporting.

Departments are expected to keep occupancy and room use information current in FacilitiesLink and confirm accuracy by the second Friday of November each year. Learn more about the FacilitiesLink deadline.

Campus Space Allocation and Assignment Guidelines

Space is allocated to Deans, Vice Chancellors and Vice Provosts by the Provost and Executive Vice Chancellor per campus Space Policy, PPM 360-21. Space may be further assigned to department chairs and others to manage appropriately to support the University’s mission and strategic goals. The following guidelines should be followed to ensure that space is used most efficiently and equitably throughout campus.   • Space Allocation Principles:
  • - Space is a critical, valuable and limited resource.  It is our collective responsibility to manage and steward it well, in support of excellence in teaching, research and public service.
    - Space is assigned based on the principles of highest and best use of that space.
    - Campus space should be used for functions that serve the University’s mission and directly involve students, faculty, or staff.
    - Programs directly related to education and research, including activities that enhance the student experience, will be given priority.
    - Safety and accessibility are of paramount importance.
    - Space allocations and assignments should prioritize equity within and across departments to the extent possible. 
    - Per campus Space Policy, (PPM 360-21) the Provost and Executive Vice Chancellor oversees and allocates all space.
  • Space Stewardship
  • Along with the allocation and occupancy of campus space come responsibilities in space stewardship. Proper stewardship of campus space includes:
    - Annual accurate reporting of space data in the Space Inventory System (FacilitiesLink), including updating occupant names and specific space uses
    - General cleanliness
    - Care for the existing infrastructure and timely repair of damages
    - Communication and cooperation with neighboring units
    - Communication and cooperation with Facilities Management
    - Continued use of the space to support the functions for which it was allocated
    - Adherence to agreements around the use of space
    - Vacating spaces when instructed
    - Responsibility for the proper removal of equipment and contents when vacating space
